Please read these Terms of Service ("Terms", "Terms of Service") carefully before using the https://car-expenses.com website and the CarExpenses application (the "Service") operated by CarExpenses ("us", "we", or "our").

Your access to and use of the Service is conditioned on your acceptance of and compliance with these Terms. These Terms apply to all visitors, users, and others who access or use the Service.

General Conditions

Your use of the Service is at your sole risk. The service is provided on an "as is" and "as available" basis.

Technical support is available via email and through the contact form on our website.

You understand that CarExpenses uses third party vendors and hosting partners to provide the necessary hardware, software, networking, storage, and related technology required to run the Service.

You must not modify, adapt or hack the Service or modify another website so as to falsely imply that it is associated with the Service, CarExpenses, or any other CarExpenses service.

We may, but have no obligation to, remove Content and Accounts containing Content that we determine in our sole discretion are unlawful, offensive, threatening, libelous, defamatory, pornographic, obscene or otherwise objectionable or violates any party's intellectual property or these Terms of Service.

Verbal, physical, written or other abuse (including threats of abuse or retribution) of any CarExpenses customer, employee, member, or officer will result in immediate account termination.

You understand that the technical processing and transmission of the Service, including your Content, may be transferred unencrypted and involve (a) transmissions over various networks; and (b) changes to conform and adapt to technical requirements of connecting networks or devices.

You must not transmit any worms or viruses or any code of a destructive nature.

If your storage usage significantly exceeds the limits of your subscription plan, or significantly exceeds the average storage usage (as determined solely by CarExpenses) of other CarExpenses customers on the same plan, we reserve the right to contact you to upgrade your plan or reduce your storage consumption.

The failure of CarExpenses to exercise or enforce any right or provision of the Terms of Service shall not constitute a waiver of such right or provision. The Terms of Service constitutes the entire agreement between you and CarExpenses and govern your use of the Service, superseding any prior agreements between you and CarExpenses (including, but not limited to, any prior versions of the Terms of Service).

Accounts

When you create an account with us you must provide a valid email address and any other information that is accurate, complete, and current at all times to complete the signup process. Failure to do so constitutes a breach of the Terms, which may result in immediate termination of your account on our Service.

You must be 13 years or older to use this Site and Service. You must be a human — accounts registered by "bots" are not permitted and in the case of determining these accounts will be deleted immediately.

You are responsible for safeguarding the password that you use to access the Service and for any activities or actions under your password, whether your password is with our Service or a third-party service. CarExpenses cannot and will not be liable for any loss or damage from your failure to comply with this security obligation.

You are responsible for all Content posted and activity that occurs under your account, including activity by users you have invited to your account with Driver, Admin, or other roles.

You agree not to disclose your password to any third party. You must notify us immediately upon becoming aware of any breach of security or unauthorized use of your account.

You cannot use the Service for any illegal or unauthorized purpose. You must not, in the use of the Service, violate any laws in your jurisdiction (including but not limited to copyright laws).

Your Data and Content

You retain ownership of all data you enter into the Service, including but not limited to vehicle information, expense records, refuel logs, travel records, documents, and attachments ("Your Data").

You may export Your Data at any time using the export functionality provided in the Service. We are committed to data portability and will never hold your data hostage.

You are responsible for maintaining backups of Your Data. CarExpenses performs regular backups but is not liable for any loss of data.

By using the Service, you grant CarExpenses a limited license to process Your Data solely for the purpose of providing and improving the Service. We will never sell Your Data to third parties or use it for advertising purposes.

Multi-User Accounts

Certain subscription plans allow you to invite additional users to your account with various permission levels (Owner, Admin, Driver, Viewer). As the account Owner, you are responsible for the activity of all users you invite.

You may remove users from your account at any time. When a user is removed, their access is immediately revoked, but records they created while having access will remain in your account.

Users invited to your account must also comply with these Terms of Service. Violations by invited users may result in termination of your entire account.

Account Contested by 2 or More Parties

In the case of an account being contested by 2 or more parties, CarExpenses will determine whom to grant ownership of the account to in the following way:

Ownership of a Premium account: the ownership of a premium account will be granted to whichever party made the most recent payment on the account unless proven otherwise.

Ownership of a Free account: the ownership of a free account will be granted to whichever party originally signed up for the account unless proven otherwise.

Payment, Refunds, Upgrading and Downgrading Terms

We have the right to charge fees for our services. You'll need to pay those fees (plus any applicable taxes), as set out in the specific conditions for the service or plan you choose.

All paid plans must be associated with a valid payment method. Free accounts are not required to provide payment details. An upgrade from the free plan to any paying plan will immediately bill you. The Service is billed in advance on a monthly basis.

We offer a 14-day money-back guarantee on all paid plans. If you are not satisfied with the Service, contact us within 14 days of your initial purchase for a full refund. After the 14-day period, there will be no refunds or credits for partial months of service, upgrade/downgrade refunds, or refunds for months unused with an open account.

For any upgrade or downgrade in plan level, your payment method will automatically be charged the new rate on your next billing cycle. Downgrading your Service may cause the loss of access to certain features, vehicles beyond your new plan's limit, or storage capacity of your Account. CarExpenses does not accept any liability for such loss.

Service and Price Modifications

We reserve the right, at our sole discretion, to change, modify or discontinue the Service permanently or temporarily with or without notifying you. CarExpenses can make changes to prices or services without being liable to you or any third party.

For price increases on paid plans, we will provide at least 30 days notice via email to your registered email address. You may cancel your subscription before the price increase takes effect.

Cancellation or Termination

You may terminate this Agreement by requesting your Account to be deactivated and deleted while logged into the Service. Before terminating, we recommend exporting Your Data using the export functionality provided.

CarExpenses may also terminate your right to use the Site and/or Services with or without cause at any time. CarExpenses shall notify you via email to your registered email account if we terminate your Account. Your obligation to pay accrued charges and fees up to the date of termination shall survive any termination of this Agreement.

Upon termination, you will lose access to Your Data. We recommend exporting all data before requesting account termination.

Copyright and Intellectual Property Rights

We do not claim any ownership rights over the data and content you provide to CarExpenses. Your vehicle records, expense data, and uploaded documents will remain yours.

The look and feel of the Service is © 2026 CarExpenses. All rights reserved. The name and logos of CarExpenses are trademarks of CarExpenses. All rights reserved. These trademarks cannot be used without the permission of CarExpenses.

The Products and Services, including all content included on our user interfaces or delivered to members as part of the Products and Services, including but not limited to source code, data compilations, software, visual design elements and concepts are the property of CarExpenses and protected by international copyright, trade secret or other intellectual property laws and treaties.

Third Party Links

Our Site and/or Services may include links to certain websites, materials, or content developed by Third Parties and not owned or controlled by CarExpenses. CarExpenses has no control over and assumes no responsibility for the content, privacy policies, or practices of any third party web sites or services.

You further acknowledge and agree that CarExpenses shall not be responsible or liable, directly or indirectly, for any damage or loss caused or alleged to be caused by or in connection with the use of or reliance on any such content, goods or services available on or through any such web sites or services. We strongly advise you to read the terms and conditions and privacy policies of any third-party web sites or services that you visit.

Changes To This Terms of Service

We reserve the right, at our sole discretion, to modify or replace these Terms at any time. Any new features that augment or enhance the Site, including the release of new tools and resources relating to the Service, shall be subject to the Terms of Service. Continued use of the Service after any such changes shall constitute your consent to such changes. TO THE FULLEST EXTENT PERMITTED BY LAW, CAREXPENSES, ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, IN CONNECTION WITH THE SERVICE AND YOUR USE THEREOF.
